Account details. Your name, work email address, account credentials and company association, whether you register as a company administrator or as a driver.

Vehicle and daily check records. The vehicle, trailer or container selected, odometer readings, inspection item results, defect notes and any photographs you upload when completing a daily walkaround check.

Incident reports. Details of any accident or near miss you choose to report, including location, conditions, third party details you supply and photographs.

Compliance and awareness information. Your health awareness check results are stored as a score and band only. Individual answers are never stored, and your awareness score is only ever shown to you. Compliance scores are set and managed by your company administrator.

Payment information. Subscriptions are processed by Stripe. We do not receive or store your card details. We receive limited billing information such as your subscription status and plan.

Technical information. Device and browser information, and cookie or local storage preferences you set, including your cookie consent choice and language preference.

We use your information to provide and maintain the Service, to record and notify the relevant people of vehicle defects, to present check history to you and your company administrators, to manage your subscription, to prevent misuse, and to meet our legal and record-keeping obligations. Where you belong to a company account, your company administrator can see the check, defect and compliance records you create under that account.

Our legal bases are performance of our contract with you, our legitimate interests in operating and securing the Service, compliance with legal obligations, and your consent where we rely on it (for example non-essential cookies).

We share information with service providers who help us run the Service, including our hosting and database provider, our email delivery provider and Stripe for payment processing. We share records with the company account you belong to. We may disclose information where required by law or to protect the rights, safety or property of our users.

We do not sell your personal information.

We keep account information while your account is open. Check, defect and incident records are retained for the period your company subscribes, plus any period needed to satisfy legal, regulatory or insurance record-keeping requirements. You can ask us to delete your account at any time.

You have the right to access, correct and delete your personal information, to restrict or object to certain processing, to data portability, and to withdraw consent at any time. Where your records relate to a company account, some requests may need to be raised with your company administrator, as they control those records.

We use necessary storage to keep you signed in and to remember your preferences. Optional cookies are only set if you accept them in the cookie banner, and you can change your choice at any time by clearing your browser storage for this site.

We use encryption in transit, access controls and scoped permissions to protect your information. Some of our providers may process information outside the UK; where they do, we rely on appropriate safeguards such as the UK extension to the EU-US Data Privacy Framework or standard contractual clauses.
